Have your IT Systems been factored into your budgets?

Between April and June every year, I talk to many organisation and department heads who mention the dreaded “B” word - Budgets. There are many reasons as to why people hate doing budgets, but I'll skip that and tell you how you can make the most out of the budgeting exercise from an Information Technology (IT) management perspective.

There are many aspects of an organisation that are factored into a budget and one area that usually suffers due to lack of vision and forward thinking is Information Technology. Quite often IT Managers (along with many others) use the simple process of adding a percentage to the current year's budget and submit it to the Accountants. Job done and the pain goes away for another year.

That is of course until something happens to that 10 year old server that's been running trouble free, which runs an application that only one person can support but no one has the source code for, suddenly dies. By the time this problem is rectified, it could potentially have taken a huge chunk of money out of your budget that the IT Department cannot invest in any new technology for the rest of the year, until more is allocated in the next budget. Guess what happens the following year? Another unplanned expenese and the story repeats itself...

Database Performance Improvements - Part 2: Resolving Problems

Part 1 of Database Performance Improvements looked at how to identify the symptoms for poor database performance and what to look for in order to troubleshoot these problems. This part looks at each item in detail and provides some suggestions for resolving these issues.

 

Suggestions for Improving Performance

1. A database server should never be overloaded. I have seen database servers that are used as email servers and file servers in addition to hosting the database. These processor and memory intensive applications take away resources from the database and could be playing a large part in your performance issues. I would suggest that all non-database applications be moved off the database server, in a planned manner of course.

 

2. Every system has it's peaks and troughs in terms of usage. At it's peak, there would be many users in the system doing a variety of functions - this is when the performance of the database is crucial. I have seen ERP implementations where production planners run the Master Production Scheduling (MPS) and Material Requirements Planning (MRP) modules several times a day. For those not familiar, the MPS and MRP can be very resource intense modules as they work with large datasets and churn through CPU like there is no tomorrow. For most organisations, these modules can be run once a day, either at day-start or day-end. Multiple runs through the day will not only be overkill, but also affect all other users of the system.

Database Performance Improvements - Part 1: Troubleshooting Problems

slow-sign-200pxOver the past 15 years or so I have been called upon to investigate and improve database performance issues as well to reconcile databases to ensure data integrity. Whilst most of my experience has been with IBM DB2 and Microsoft SQL Server databases I have found my experience equally transferable across to Oracle and MS Access databases as well.

In this and the following article, I will be sharing some of my expertise on identifying and fixing database performance issues. While the suggestions for database performance improvements are not exhaustive, most business or their Database Administrators should find a few useful tips that will help them in resolving some of the common problems.

As we are nearing the end of 2010 I thought I'll take the opportunity to give you an update on how Adaptive Consulting has progressed this year and highlight some exciting developments that we have in the pipeline for 2011.

How We Fared in 2010

Clients & Projects

2010 has been our best year since our start three years ago. During the year we have worked on a range of projects, from developing business websites and custom software applications, to analysing, troubleshooting and recovering databases, and to helping setup email marketing and social media marketing campaigns.

Our new clients include those from Manufacturing, Finance, Electronics, Health and Personal Services industries. We also had our first Multi-National client on board this year.

Business Partners

In delivering the projects that we did this year, we have had the privilege of partnering and working with companies that have expertise in specific domains such as Graphics Design, Web Design, IT Support services, Corporate IT Strategy, IT Performance Improvements and so on. These partnerships have helped Adaptive Consulting increase the range of the services that we currently offer.

2011 - The Year Ahead

Our Team

In the first quarter of 2011 we plan to expand our team by a couple of Programmers and at least one part-time Business Analyst.

New Products and Services

Some of our existing clients would know that we have been reselling Point of Sale (POS) hardware since 2008. In 2011 we will be taking this a step further by launching an online shop where clients can purchase suitable Point of Sale Terminals as well as a range of associated hardware, software and services. Commoditising IT through Cloud Computing

As I was reading the article titled "Head in the cloud" on the CIO website, I couldn't help but think we are indeed heading towards a future where IT is becoming a commodity as Cloud Computing services increase.

The example of power generation in the late 19th and early 20th century, described in the article, does ring true in some areas of IT today. How long will it take before we get to a point where businesses are comfortable in buying IT products and services without having to actually own any of the infrastructure and/or resources?

Why do software packages have a limited number of reports?

As mentioned in my previous article, there are many reasons as to why off the shelf software packages come with only a limited range of reports. I'll first illustrate this problem with an example and then explain why this is the case.

A business associate of mine recently complained that the software package he uses for his business doesn't give him enough information to identify some of the accounts receivable issues he's been having. He wanted to be able to run a report and immediately see which of his clients are at risk of missing their payments, but there was no pre-defined report that met this requirement.

I need to create a report from my database. How do I do it?

Have you ever felt like you put in a lot of information into your database or business software but don't seem to get any value out of this information? Or, have you ever had the need to produce a report but were unable to because you didn't know how to do it?

Put simply, most software packages only include basic enquiries and reports that make the software functional (I will explain why this is the case in another article). However from time to time businesses would have a requirement for information that either cannot be found using the standard reports and/or enquiries, or would take a considerable amount of manual effort to find.

As an example, a sports club that I know of likes to update their list of "Most Committed" members each month and uses it for motivational purposes. However, the membership software they use doesn't come with a pre-built report for this purpose and as a result one of the administration staff spends a long time (more than a day) every month going through the complete list of members (past and present) to summarise how many training sessions each person attended. If you add this up over the course of a year, just think of how much effort would have been spent on this activity alone!

When Are Risk Assessments Performed?

Risk Assessments can be performed at any stage of a business lifecycle. In particular, we have noticed the following events as triggers for when businesses decide to perform Risk Assessments:

  • Starting up a business
  • Investing in a business
  • Planning for growth
  • Buying or selling a business
  • When something bad and potentially expensive happens to the business and the owners want to ensure it doesn't happen again

 

The last one in particular is interesting. A good example is the recent shutdown of European airspaces due to the Icelandic volcano eruption and how it affected business or all types, not just the airline industry. Many business want to avoid a repeat of this and have sought appropriate insurance as a way to minimise future risk.

 
Why Peform Risk Assessments?
